Our role under data protection law. DetailBook acts as a data controller for its own users (the detailers and business operators who sign up for an account). DetailBook acts as a data processor on behalf of those business users in relation to the personal data of their customers that they input into the platform (for example, customer names, contact details, and booking information).
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- Names
- Phone numbers
- Email addresses

- Passwords
Sensitive Information. We do not process sensitive information.
Payment Data. Payments are processed by Stripe. DetailBook does not store full card details on its own servers. Card information you enter at checkout is handled and stored by Stripe directly. You may find their privacy notice here: https://stripe.com/privacy.
Photos and uploaded content. When using DetailBook, you or your customers may upload photos (for example, vehicle images submitted as part of a quote request or booking). These images are stored securely on our infrastructure and are only shared with the relevant business operator (detailer) responsible for the booking. Uploaded photos are not made publicly accessible and are not used for any purpose other than fulfilling the booking request they relate to.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies.
The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called 'crash dumps'), and hardware settings).
- Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
2. How Do We Process Your Information?

Weather Information
OpenWeather (used to display a local weather widget on the operator dashboard). The platform processes business location data such as the operator's postcode for features like weather information. No precise GPS location is collected from any user, and no personal customer data is sent to OpenWeather.
Calendar Integration
Google LLC (Google Calendar API)
We also may need to share your personal information in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
5. Do We Use Cookies and Other Tracking Technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We also permit third parties and service providers to use online tracking technologies on our Services for analytics and advertising, including to help manage and display advertisements, to tailor advertisements to your interests, or to send abandoned shopping cart reminders (depending on your communication preferences). The third parties and service providers use their technology to provide advertising about products and services tailored to your interests which may appear either on our Services or on other websites.
This applies to both our website and our mobile application, which uses a secure WebView that may store cookies required for authentication and to keep you signed in between sessions.

6. Is Your Information Transferred Internationally?

Our servers are located in the United States. Regardless of your location, please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information (see 'WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?' above), including facilities in the United States, and other countries.

No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
8. How Do We Keep Your Information Safe?

We implement appropriate technical and organisational measures to protect your data against unauthorised access, alteration, disclosure, or destruction.
We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
9. Do We Collect Information From Minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
In some regions (like the EEA, UK, and Switzerland), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.

11. Google API Services — Calendar Integration
In Short: DetailBook's use of Google Calendar data is limited to blocking your availability and is never used for advertising or shared with third parties.
DetailBook offers an optional Google Calendar integration that allows business operators (detailers) to connect their personal Google Calendar account. When connected, DetailBook reads calendar event data solely to identify busy time periods and block those times from customer bookings. This prevents customers from booking appointments at times when the operator is already occupied.
What data we access: We request read-only access to Google Calendar events (calendar.readonly scope) and the connected Google account's email address (userinfo.email scope). We do not access, read, or store the full content of calendar events beyond what is necessary to determine busy time windows (event title and start/end times).
How we use this data:
- Calendar event data is used exclusively to block unavailable time slots in the DetailBook booking system.
- Event data is stored temporarily as blocked time entries and is automatically replaced each time a sync occurs.
- We do not use Google Calendar data for advertising, marketing, or any purpose unrelated to availability management.
- We do not share Google Calendar data with any third parties.
Data retention: Google Calendar data (blocked times derived from calendar events) is retained only as long as the integration remains connected. When a user disconnects their Google Calendar, all associated blocked time entries are immediately deleted.
Revoking access: You may disconnect the Google Calendar integration at any time from your DetailBook settings page, which will immediately revoke our access and delete all synced data. You may also revoke access directly from your Google Account at myaccount.google.com/permissions.
DetailBook's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
12. Mobile Application and Push Notifications
In Short: The DetailBook mobile app is a thin wrapper around our web app and uses Firebase Cloud Messaging to deliver push notifications. We collect a device token to route notifications to your device — nothing more.
DetailBook offers a mobile application for Android (and, in the future, iOS) that provides business operators with a native shell around our web platform. The app loads the same DetailBook web experience available at app.detailbook.co.uk, with the addition of native push notifications.
What data the mobile app collects or processes:
- Firebase Cloud Messaging (FCM) device token. When you log into the DetailBook app on your device, the app generates a unique device token via Google Firebase which may be associated with your account to enable delivery of push notifications. The token is used solely to deliver push notifications to your specific device. It is not used for tracking, advertising, or shared with any third party other than Google's Firebase service, which is the delivery mechanism.
- Notification permission. On Android 13 and above, the app requests permission to display push notifications. You may grant or deny this permission at any time via your device settings. The app does not request or access any other device permissions — including contacts, precise location, storage, microphone, or camera — unless explicitly stated in this Privacy Notice.
- What push notifications are used for. Push notifications sent by DetailBook are operational in nature and may include booking confirmations, booking reminders, quote acceptances, payment updates, and other operational messages relating to your use of the service. We do not send marketing or promotional push notifications.
- Authentication cookies. The app stores your DetailBook login session locally on your device using standard browser cookies inside the app's WebView. These cookies are not shared with any third party.
- No additional personal data is collected by the app itself. All other data collection is handled by the same web platform described elsewhere in this Privacy Notice.
Disabling push notifications: You may disable push notifications at any time by toggling the notification permission for the DetailBook app in your device's system settings, or by uninstalling the app. When you log out of the DetailBook app or uninstall it, your device token is invalidated and removed from our records.
Firebase privacy: Push notification delivery is handled by Google's Firebase Cloud Messaging service. Google's privacy practices for Firebase are described at firebase.google.com/support/privacy.
13. Controls for Do-Not-Track Features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice.
